Terms and conditions

Including payment and AI credit terms. Last updated 18 October 2026.

1. About these terms

These terms govern your use of AxioLite, provided by Axiometra Limited, a company registered in Scotland (company number SC892597, VAT number GB522727107), registered office 3 Prospect Place, Westhill, Aberdeenshire, AB32 6SY ("we", "us").

AxioLite is supplied to businesses. By creating an account or using the service on behalf of an organisation, you confirm you have authority to accept these terms for that organisation ("you").

2. Accounts and acceptable use

You must give accurate details when signing up and keep sign-in details secure. You are responsible for activity under your organisation's accounts, including users you invite.

You must not misuse the service, attempt to access another organisation's data, disrupt the service, reverse engineer it, or use it for unlawful purposes.

We may suspend accounts that breach these terms or put the service or other customers at risk.

3. Stock and supplies only

AxioLite is for managing stock and supplies. Do not enter patient, client or other health information. AxioLite is not a clinical system, a patient record system or a medical device, and must not be used to manage life-support equipment or controlled drugs. You are responsible for checking stock quantities, batches, quality status and expiry dates before use.

4. Plans, trial and limits

New accounts receive a 14-day trial with every feature. If no paid plan is chosen, the account moves to the Free plan without losing data.

The Free plan has no time limit and includes up to 50 products and 2 users. Paid plans (Starter, Growth and Scale) have the product limits and features shown on our pricing page.

When you reach a plan limit, you will need to upgrade to add more. Existing data is not deleted because of a limit.

5. Payment terms

Paid plans are billed in advance, monthly or yearly, by card through our payment provider, Stripe. Yearly billing costs ten months' worth of the monthly price.

Prices are shown excluding VAT unless stated. UK VAT is added at checkout where applicable. VAT-registered customers can add their VAT number so it appears on invoices and receipts.

Subscriptions renew automatically at the end of each billing period until cancelled. If a payment fails, we may retry it and may restrict paid features until it succeeds.

Upgrades take effect straight away and may be charged pro rata. We will give at least 30 days' notice of any price change, which applies from your next renewal.

6. Cancellation and refunds

You can cancel at any time from Billing. Cancellation takes effect at the end of the current billing period, and paid features remain available until then. Your account then moves to the Free plan.

Subscription fees already paid are not refundable for partly used periods, except where required by UK law or agreed by us in writing.

7. AI credit terms

Monthly credits. Each plan includes a monthly AI credit allowance. It resets at the start of each billing period and unused monthly credits do not roll over.

Credit packs. Extra credits can be bought as one-off packs. Purchased credits are valid for 3 months from the date of purchase. Any credits unused at the end of that period lapse automatically and cannot be restored or refunded.

Order of use. Monthly credits are used first, then purchased credits with the earliest expiry date.

Failed actions. If an AI action fails or is cancelled, the credits charged for it are returned to where they came from, keeping their original expiry date. Credits returned after their expiry date have lapsed and are not restored.

No cash value. Credits have no cash value, cannot be transferred between organisations, and are not refunded on cancellation. Credit packs are non-refundable once purchased, except where required by law.

Earlier purchases. Credits bought before this policy keep their original terms.

You can see your balances and expiry dates in Billing at any time.

8. Your data

You own the data you put into AxioLite. We process it only to provide the service, as described in our privacy policy.

Each organisation's data is kept separate. You can export your data while your account is active. AI features produce suggestions which you should check before relying on them.

9. Availability and liability

We aim to keep AxioLite available and secure but do not guarantee uninterrupted service. We may change or improve features over time.

To the extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, or loss of data, and our total liability in any 12 months is limited to the fees you paid us in that period. Nothing in these terms limits liability that cannot be limited by law.

10. Changes and governing law

We may update these terms. We will notify you of material changes before they take effect. Continued use after that date means you accept the updated terms.

These terms are governed by the law of Scotland, and the Scottish courts have jurisdiction. Questions: contact@axiometra.com.
